EXECUTIVE ASSISTANT TO THE HEAD OF SCHOOL

Type: Full-time staff - 12 month position

Maumee Valley Country Day School is seeking a highly organized and detail-oriented individual to support the Head of School in all school matters to ensure the success of the institution. This role is a collaborative working partnership with the Head of School. Autonomy, problem-solving, exceptional communication skills, and confidentiality are the key ingredients to an excellent working relationship. 

This position reports to the Head of School and collaborates closely with the Board of Trustees, the administrative team, as well as the administrative support team of the entire school.  The Executive Assistant to the Head of School manages the day-to-day operations of the Head of School’s office and manages her time, communications, and travel. This position also manages the school’s master calendar and coordinates all aspects of the Board of Trustees, board committees, and task forces. Responsibilities include, but are not limited to, the following:

Head of School Responsibilities:
  • Manage the Head of School calendar, appointments, and speaking engagements
  • Correspondence, telephone communication, appointments, paperwork assignments
  • Special Events: manage special events for donors, community leaders, special speakers
  • Track project due dates and administrator tasks
  • Schedule all travel arrangements including registrations to conferences, seminars, etc.
  • Prepare Head of School for meetings, speeches, and public events: coordinate all meetings, prep time, and materials for success
  • Assist with Head of School communications as needed
  • Duties as needed and assigned

Board of Trustees Responsibilities:
  • Coordinate and manage all aspects of Board meetings, including calendar invitations and reminders, compiling and sending the preread, serving as recording secretary, distributing materials, notices, and coordinating dates of all board meetings and board events.
  • Coordinate all aspects of board committees and task force meetings through committee chairs and liaisons
  • Manage minutes and meeting notes/documents for the Head of School
  • Managing all Board sponsored events
  • Duties as needed and assigned

School Activity Responsibilities:
  • Manage the setup/food/AV needs of all school in-services and school events sponsored by the Head of School
  • Manage school’s master calendar: events, spaces, school breaks
  • Attend Administrative Team meetings, take official minutes
  • Assist with extra-curricular activities within the school throughout the year
  • Assist with planning and execution of graduation
  • Coordinate school parties, year-end celebrations, and years of service of all faculty and staff
  • Post all job openings where needed and coordinate job searches for administrative openings
  • Assist technology department and HR with onboarding of new hires
  • Duties as needed and assigned

Skills Needed and Qualifications Desired:
  • Bachelors degree
  • Strong interpersonal and communication skills, including active listening skills and a demonstrated ability to write clearly 
  • Customer service and hospitality-driven attitude
  • Confidentiality 
  • Ability to maintain professional boundaries 
  • Ability to manage multiple projects with frequent interruptions
  • Ability to manage stressful and emotional situations with a calm and professional demeanor
  • Strong planning and organizational skills
  • Superior computer skills, specifically in Google, Blackbaud, Microsoft Office; understanding of and ability to use databases
  • Demonstrated ability to think strategically and to achieve short-term goals with a continued vision toward longer-term opportunities
  • Ability to develop and cultivate relationships with families, teachers, colleagues, students, alumni, and community members
  • Ability to work collaboratively in a strong team environment
  • Demonstrated ability to work within different cultural contexts
  • High energy, positive “can-do” attitude, flexible, attentive to detail, self-starter, and results driven
